Take payments with Square Virtual Terminal, manage your inventory, create customer promotions, book appointments, and more.
- Sellers with the reports permission to view sales reports can set up reporting hours. Sellers with the account and settings permission to configure hardware can edit device names.
- Only account owners can set up email notifications. Set permissions in Square Dashboard.
About analytics and reporting
Square analytics and reporting provides a range of insights about your sales and business to help guide operations.
These reports are available to all Square sellers, and all can be viewed from the Square Dashboard:
Sales summary, sales trends, and payment methods
Item sales, category, and modifier sales
Discounts, comps, and voids
Tax, fees, and service charges
Transaction status for unprocessed and uncompleted transactions
Transaction history
Gift cards
Custom report
Dispute
Cash drawers
If you are using the Square POS app, you can only view:
Transaction history
Sales summary
Gift cards overview
Disputes
These reports are available to Square sellers with specific subscriptions:
Square for Restaurants Plus or Premium: Section sales reports and category rollup reports
Square Staff: Team sales reports, and Labor vs sales reports
Square KDS: Kitchen performance reports
Square Appointments: Appointments reports
Square for Retail: Inventory reports
Square Online: Square Online reports
Before you begin
To get the most value out of your reporting features, we recommend completing basic setup tasks, such as creating items, categories, modifiers, discounts, taxes or service charges.
To set up analytics and reporting, you’ll need to have access to your Square Dashboard.
Step 1: Set up reporting hours
You can set up multiple custom time ranges to best represent your business hours. Once complete, you can filter reports based on the set reporting hours.
Sign in to your Square Dashboard and click > Reports > Settings.
Select Reporting hours > Add reporting hours.
Enter the Hour set name and choose a Timezone.
Enter the Start time and End time. The start time will determine the calendar day that sales will be attributed to.
Once complete, click Save to add the reporting hours.
Step 2: Set up tracking by device
To distinguish between multiple devices accepting payments with one Square account, you can give a unique name to each mobile device.
After assigning a device name, the device name will be shown:
In Reports: Use the Display By and Filter By options and click Device you’d like to view for each report. You can also see which device accepted each payment by downloading your transactions as a CSV file.
In Transactions: You can see which device accepted each payment by downloading your transactions as a CSV file.
- Open ≡ More in your Square POS app.
- Tap Settings > Hardware > Device Name. For Square Terminal and Square Register, tap Settings > Hardware > General.
- Enter a device name.
You can update the name of your iOS device in your Apple device settings. Learn how to change the name of your device on the Apple website in the iPhone User Guide or the iPad User Guide.
If you use device codes to sign in to your Square POS app on iPad, you can also track payments in both Reports and Transactions with a Device Nickname you entered when generating a device code.
Step 3: Set up reporting email notifications
You can configure email notifications for your daily sales summary as well as your monthly and annual sales summary. For details, refer to Set up email and outage notifications.
