Best Practices to Deactivate Your Square Account
If Square has given you notice that your account will be deactivated soon, you can find more information about the steps to take to secure your account information below.
Final Payment Balance
After 30 days, you’ll still have access to view your online Square Dashboard, but you’ll no longer be able to process any payment transactions using Square. Any funds remaining in your Square balance will be returned to your linked bank account.
Automatic deposits: If you receive automatic deposits, account deactivation won’t affect your normal payment schedule.
Manual deposits: If you receive manual deposits, please contact our Support Team for more information.
If you have any questions or believe this has been a mistake, please visit our Terms of Service or directly reply to the email that you received from Square.
Export Your Payment History
We strongly advise downloading your payment history with Square for your records. You might need this information for tax purposes, future reference or when applying for a bank loan or credit card terminal. To do so:
Navigate to the Balance tab in your online Square Dashboard.
Use the date selector to refine a date range. Click This Year or Last Year, then use the arrows to navigate between years. Note: Click the middle of the date-selector to see a full calendar view.
Select All Locations, or manually choose locations to review.
Click Export to download a CSV file to your computer, which you can open using Microsoft Excel or another common spreadsheet software.
Export Your Item Library
You’ll want to export your item library if you plan on creating a new inventory list with another point of sale system. It’s also good to keep this information for your records. To do so:
Visit the Items tab in your online Square Dashboard.
Click Actions > Export Library.
You can export your item library into an Excel (.xlsx) or CSV file. A spreadsheet will download to your computer which you can open using Microsoft Excel or another common spreadsheet software.
Export Your Customer Directory
You can export your entire customer list directly from your online Square dashboard. This could come in handy if you’ve been collecting customer information that you want to reference in the future. To do so:
Visit the Customers tab in your online Square Dashboard.
Click Import / Export > Export Customers.
Select the groups you’d like to export customers from. If a customer exists in multiple groups, they’ll only be exported once.
Click Download.
A .CSV file will download to your computer, which you can open using Microsoft Excel or another common spreadsheet software.
Square Hardware
Square readers and third-party hardware are universal, so they don’t store any personal or account information, and can be used with any Square account.
Readers aren’t linked to any specific account holder or bank account, nor do they need to be activated. Your personal information won’t be compromised if you sell, recycle, or share your reader between Square accounts.
If you have any other Square hardware, read more about Square Hardware Limited Warranty and Returns.
