Categorize Your Spending with Square Bill Pay

With Square Bill Pay, you can categorize your bills and vendors with ten preset groups, including:

  • Advertising & marketing

  • Business credit cards & loans

  • Freelancers & staff

  • Insurance

  • Inventory

  • Legal & professional services

  • Rent & lease

  • Supplies

  • Utilities

  • Other

You can use these categories to filter when viewing your bills. They are also included in the exported CSV file of your bills for you to analyze or import into other software.

Assign a Default Category to Vendors in Square Dashboard

  1. Go to Payments > Bill Pay in your online Square Dashboard.

  2. Click Vendors. Select an existing vendor or create a new vendor.

  3. Scroll to Additional information (optional) within the vendor profile.

  4. Click to expand and select a default category for the vendor. Future bills for this vendor will automatically populate with the default category. However, you still have the option to change the category for a specific bill.

  5. Click Save.

Assign a Category to New Bills in Square Dashboard

  1. Go to Payments > Bill Pay in your online Square Dashboard.

  2. Click Add bill to initiate the bill creation process.

  3. Enter the bill amount.

  4. Select an existing vendor or add a new vendor by typing their name in the Add a vendor field and selecting Add “X” as a new vendor. Fill out the Create vendor form by adding their contact information.

  5. Select Category and choose one of the options. If the existing vendor already has a previously assigned category, you can still manually select the category during this step.

  6. Add a due date.

  7. Select Next.

  8. Choose a payment method.

  9. Choose a payment delivery option for your vendor, either send a digital payment, or have Square mail a paper check on your behalf.

  10. Add a payment initiation date. This is the date when payment will be withdrawn from your account.

  11. Select Schedule.

Assign a Category to Existing Bills in Square Dashboard

  1. Go to Payments > Bill Pay in your online Square Dashboard.

  2. For every bill listed, you can select a category from the dropdown menu under Category.

  3. Click Update to add your selected category to all bills associated with that vendor, or click Not now to skip this step.
