Manage Resources with Square Appointments
Create resources – like rooms, stations or chairs – and assign them to your services that require them. When those services are booked, the resources are automatically booked at the same time so that you don’t get double-booked when a resource is unavailable. You can also view which resource is booked out for the service from the appointment details.
You can also use resources to help you restrict the number of appointments for the same time slot, such as a private shopping appointment.
All of this can be done from your online Square Dashboard, Appointments mobile app or when using Square Appointments on Square Register.
Create a Resource
From Your Online Square Dashboard
You are able to create a resource directly from your online Square Dashboard:
Navigate to the Items section of your Square Dashboard > Resources.
Choose a name (i.e. massage room) and an optional description.
If you have multiple locations, select the appropriate business location.
Select Save to create your resource.
A resource can only be assigned to one business location.
From the Square App
Open the Square app > tap on Items & Services > Resources.
Select Create a resource > enter your resource details.
Tap Save.
From Square Register
Tap on the down arrow and navigate to Items.
Tap Resources > Create Resource.
Enter your resource details.
Tap Save.
Edit a Resource
You can make edits to a resource at any time from your online Square Dashboard, from your Square mobile app or when using Square Appointments on Square Register.
From Your Online Square Dashboard
Navigate to the Items section of your Square Dashboard > Resources.
Select the resource you’d like to edit > Edit, and make your desired changes.
Save.
From the Square App
Open the Square app > tap on Items & Services > Resources.
Select the resource you’d like to edit, and make your desired changes.
Tap Save.
From Square Register
Tap on the down arrow and navigate to Items.
Tap Resources > Create Resource.
Select the resource you’d like to edit, and make your desired changes.
Tap Save.
Delete a Resource
In case you want to delete a resource, you can do so from your online Square Dashboard, Appointments mobile app or when using Square Appointments on Square Register.
From Your Online Square Dashboard
Navigate to the Items section of your Square Dashboard > Resources.
Select the resource you’d like to remove > Delete.
Tap Delete Resource.
From the Square App
Open the Square app > tap on Items & Services > Resources.
Select the resource you’d like to remove > Delete.
From Square Register
Tap on the down arrow and navigate to Items.
Tap Resources > Create Resource.
Select the resource you’d like to delete and make your desired changes.
Tap Save.
Assign Resources to Services
You can assign a resource to a service from your online Square Dashboard, or from the Square app. Based on this assignment, Square Appointments will automatically block off just one available resource to the services that require it when the appointment is made. This resource will not get double-booked on another appointment.
If a certain service is available at different locations of your business, you can assign resources to one, some or all locations.
From Your Online Square Dashboard
Navigate to the Items section of your Square Dashboard > Services.
Select the service that requires a resource.
Toggle on Resource required.
Select the resource(s) you’d like to assign to the service. When the service is booked on an appointment, one of these assigned resources will also be booked.
Tap Save.
Note: If you have different variations on a service, you can assign different resources to your variations as well.
From the Square App
Open the Square app > tap on Items & Services > All Services
Select the service that requires a resource.
Turn on Resource required for this service.
In the Assigned resources section, tap Select resource and select the resource(s) you’d like to assign to the service.
Tap Save.
From Square Register
Tap on the down arrow and navigate to Items.
Tap All Services > select the service that requires a resource.
Toggle on Resource required for this service.
Tap the Assigned resources section, and select the resource(s) you’d like to assign to the service.
Tap Select.
Change Resources on Appointments
In case you want to change the resource booked on an appointment, you can do so from your Appointments calendar on the dashboard or on the mobile app. This can be done when creating a new appointment, right after a resource is automatically assigned or when editing an existing appointment.
Resources can also help you restrict the number of appointments during the same time slot. For example, you might have three staff members available for private shopping appointments, but you only want to have one appointment at any given time. In this case, you can name your resource shopping slot and assign it to your personal shopping service, so one private shopping appointment can be booked online for any given time slot.
From Your Online Square Dashboard
Visit your Appointments Calendar >Actions.
Select the desired appointment > choose the service under Services and Items .
Select the assigned resource, and change the resource, if other resource options are available in the drop-down menu.
Click Save.
From the Square App
Open the Square app > navigate to your Appointments calendar.
Select the appointment you want to change the resource from > under Services and Items select the service.
Scroll down to Resources and tap on the resource you want to change > select a new resource.
Save.
From Square Register
Tap the down arrow and navigate to Calendar.
Tap the appointment you want to change the resource from.
Tap Edit Appointment.
Tap the service under Services and Items.
Tap on the resource you want to change.
Select a new resource.
Tap Save.
