Add and manage bookable staff for Square Appointments

    With Square Appointments you can create staff members that can specify their available services, manage their booked appointments, and allow them to process payments.

    Staff profiles allow you to determine their client-facing information, such as the services they can perform, their display name, and hours of availability. When you make staff members bookable, customers can book that staff member through any of your online booking channels.

    By default, you have the following permission groups with different levels of access to the Appointments calendar and point of sale:

    • Service Provider: Allows staff members to manage their own calendar.

    • Front Desk: Access to all staff calendars.

    • Manager: Allows access to all calendars and account information. This role allows staff members to sync their personal Google Calendar to Square Appointments.

    All of the above permission groups automatically have the Access Mobile Point of Sale permission enabled, with limited access. Staff members also have access to their calendar, customer list, and an overview of appointment details online when the Access Dashboard permission is enabled. If you create a new group, make sure to enable this setting to allow your staff access to the Square Appointments app.

    Before you begin

    You can create and manage staff members from your Square Dashboard. If you already created an team member profile, you’ll see an option to add them as a staff member when you edit their profile. Learn more about how to add and manage team members.

    Create a bookable staff member

    1. Sign in to your Square Dashboard and select Payments > Appointments > Staff > + Add staff.

    2. Select create a staff from scratch.

    3. Add their contact information and customize their settings. Each staff member must have a unique email address.

    4. Set their notification settings for new and upcoming appointment emails and text messages. Select Owner sent a copy to send a copy of each notification to the owner.

    5. For Online booking, toggle on Bookable by customers online.

    6. Select their location, hours, services, and enter their biographic information.

    7. Select Save.

    Once you create a staff profile, they’ll receive an email invite to create a sign-in for Square Appointments to access their own Square Appointments app with their calendar and customers.

    Edit staff member location and hours

    Staff member hours and time zones are initially set by your business’ settings, but you can customize these from your Square Dashboard. The hours set on the staff member’s page match the account’s bookable calendar as well as the staff member’s calendar.

    1. Sign in to your Square Dashboard and select Payments > Appointments > Staff

    2. Select a staff member.

    3. For Location and Hours, toggle on their locations and set hours for each.

    4. Select Save.

    Any updates made to your business hours will not affect that staff member’s bookable hours. If no custom hours are set, updates to the business’ hours or time zone will apply to that staff member’s bookable hours and time zone as well.

    Remove a bookable staff member

    1. Sign in to your Square Dashboard and select Payments > Appointments > Staff

    2. Select a staff member’s name.

    3. Select the trash can icon and select Delete Staff.

    If you delete a staff member, you also need to deactivate their Square team member profile. Learn more about how to add and manage team members.

    If you delete your staff but keep their team member profile active, your subscription type will change from Square Appointments to Advanced Access.
