Schedule appointments with multiple staff members

    Your clients can book a single appointment with your business that contains multiple services assigned to different staff members. Assigned services will show up on that staff’s calendar, and tips will be allocated accordingly to each assigned staff member.

    Before you begin

    Before you can schedule appointments with multiple staff members, you need to enable the setting from your Square Dashboard. Once enabled, you can schedule appointments with multiple staff members from your Square Dashboard or the Square Appointments POS app.

    If your business also sells items, such as hair products for a beauty salon, you can attribute the sale of an item to the front desk staff, or another staff member, and not the individual who performed the service.

    To schedule appointments with multiple staff members, you need to do the following:

    Tipping breakdown

    When a client books multiple services or purchases multiple items from you, they may decide to leave a tip at the end of the appointment. Review the following example to understand how we split the tips proportionally.

    • Sally books a facial ($30) and a massage ($60).

    • The facial is assigned to Staff A, and the massage is assigned to Staff B.

    • At the end of the appointment, Sally decides to purchase an item ($10), and Staff C cashes out the appointment at a total of $100.

    • Sally leaves a $10 tip.

    • Staff A receives $3 in tips, Staff B receives $6 in tips, and Staff C receives $1 in tips.

    If Sally decides not to tip one of the three staff members, you will have to split the appointment into two or three transactions. This is a current limitation, but may change in the future.

    Any tips earned on a multi-staff appointment reflect a percentage split proportionally among the staff based on the total cost of the client's appointment. Learn how to view your team's appointment performance report .

    Step 1: Turn on multi-staff appointment booking

    1. Sign in to your Square Dashboard and click Appointments or Payments > Appointments.

    2. Click Settings > Calendar & Booking.

    3. Toggle ON Allow multiple staff to be booked in a single appointment.

    4. Click Save.

    Turn off multi-staff appointment booking

    1. Sign in to your Square Dashboard and click Appointments or Payments > Appointments.

    2. Click Settings > Calendar & Booking.

    3. Toggle OFF Allow multiple staff to be booked in a single appointment.

    4. Click Save.

    Disabling this feature does not prevent you or your staff members from manually creating appointments with multiple assigned staff on behalf of the client.

    Step 2: Schedule an appointment with multiple staff members

    Square Dashboard

    1. Sign in to your Square Dashboard and click Appointments or Payments > Appointments.
    2. Click Calendar.
    3. Select a time slot on your calendar or click Create.
    4. Choose the Appointment event type.
    5. Enter the client’s information, as well as the date and time of the appointment.
    6. Click Add a service, and select the desired service. The service applies to the appointment with your default staff member.
    7. To change the staff member, click on the service and select the staff dropdown menu.
    8. Choose a staff member and click Save to update the service. Repeat the steps for each service added.
    9. Click Save.
    10. Click Notification Type to select if and how you’d like to notify your customer. You can add an optional message to your client.
    11. Click Save.

    Square Appointments POS app

    1. Open your Square Appointments POS app.
    2. Tap Calendar.
    3. Tap + or tap a time slot from your calendar and select Create Appointment.
    4. Enter the client’s information, as well as the date and time of the appointment.
    5. Tap Add Service, and select the desired service. The service applies to the appointment with your default staff member.
    6. To change the staff member, tap on the service and select the staff dropdown menu.
    7. Choose a staff member and tap the back arrow > Save to update the service. Repeat the steps for each service added.
    8. Tap Save.
    9. Tap Notification Type to select if and how you’d like to notify your customer. You can add an optional message to your client.
    10. Tap Save.

    Step 3: Assign an item to a staff member (optional)

    Square Dashboard

    1. Sign in to your Square Dashboard and click Appointments or Payments > Appointments.
    2. Click Calendar.
    3. Select a time slot on your calendar or click Create.
    4. Choose the Appointment event type.
    5. Enter the client’s information, as well as the date and time of the appointment.
    6. Click Add an item and select an item. The item applies to the appointment with your default staff member.
    7. To change the staff member, click on the item and select the staff dropdown menu.
    8. Choose a staff member and click Save to update the item. Repeat the steps for each item added.
    9. Click Save.
    10. Click Notification Type to select if and how you’d like to notify your customer. You can add an optional message to your client.
    11. Click Save.

    Square Appointments POS app

    1. Open your Square Appointments POS app.
    2. Tap Calendar.
    3. Tap + or tap a time slot from your calendar and select Create Appointment.
    4. Enter the client’s information, as well as the date and time of the appointment.
    5. Tap Add Item or Discount, and select the desired item. The item applies to the appointment with your default staff member.
    6. To change the staff member, tap on the item and select the staff dropdown menu.
    7. Choose a staff member and tap the back arrow > Save to update the item. Repeat the steps for each item added.
    8. Tap Save.
    9. Tap Notification Type to select if and how you’d like to notify your customer. You can add an optional message to your client.
    10. Tap Save.

    You can also update the staff member assigned to an item on existing booked appointments.
